The short version
SME Professional and Proplio overlap on exactly one module and differ on everything else. SME Professional is a cloud-based all-in-one CRM for UK estate and letting agencies — client accounting, property marketing, tenancy packs with e-signing, landlord and tenant portals, communications — with a compliance-management module inside it. Proplio is a compliance platform that does none of those other things.
Two things make this comparison different from the usual platform-vs-tracker matchup. First, SME's compliance module is stronger than most: its own material describes managing more than 20 safety certificate types with process controls, contractor workflow, and an audit system — this is not a bolted-on date box, and we are not going to pretend it is. Second, SME does not publish pricing: we could find no pricing page on its site, and the route to a number is booking a demo. Proplio is £29/month flat, self-serve, visible before you sign up.
So the honest framing is this: if you want one system to run the entire agency and you are happy to buy through a demo process, SME Professional is a credible, well-reviewed choice used by more than 1,000 property businesses. If you want compliance depth without adopting (and paying for) a full agency CRM, or you want a defensible audit artefact and landlord visibility with zero rollout effort, Proplio is the sharper tool. We make Proplio, so we are biased — we have tried to be fair about where SME wins, and it wins more than most.
What each product is actually for
SME Professional (made by Lyles Sutherland, based in Edinburgh) was built as the single system an agency runs on. Client accounting with bank feed import, BACS payment files, and landlord and contractor payment schedules — with an Open Banking integration rolling out from January 2026. Lettings management with tenancy packs and e-signatures. Marketing feeds to Rightmove, Zoopla, and OnTheMarket. Landlord and tenant portals, email and SMS templates, customisable dashboards, and an ecosystem of roughly 100 third-party integrations. Compliance management is one module of that whole, sold in two packages — STANDARD and PLUS.
Proplio was built around the compliance lifecycle and nothing else. A property has a list of compliance items. Each item has an expiry date. As that date approaches, reminders fire at 90, 60, 30, 14, and 7 days. When an inspector or landlord asks for evidence, you generate a one-click PDF compliance pack. The portfolio dashboard tells you which properties are red, amber, or green. There is no accounting, no marketing feeds, no tenancy packs, no portals to configure.
Choose based on how much system you want to adopt. SME Professional is a re-platforming decision — demo, quote, onboarding, training, migration. Proplio is a sign-up-and-import decision — properties in via CSV, expiry dates entered, reminders firing, done by the end of the afternoon.
Compliance, head to head

Compliance type coverage. SME Professional's compliance page describes managing more than 20 safety certificate types — Landlord Gas Safety, EICR, EPC, PAT, and Legionella Risk Assessment are named explicitly — plus HMO certificate management and safety-equipment lifespan tracking. That is genuine breadth. Proplio ships with twelve UK compliance types as defaults — Gas Safety, EICR, EPC, Legionella, Smoke and CO, Right to Rent, HMO Licence, Selective Licence, PAT Testing, Fire Safety, PRS Database, and PRS Ombudsman — plus custom types per agency for anything else. The practical difference is at the regulatory edge: Proplio treats the Renters' Rights Act obligations — PRS Database registration and PRS Ombudsman membership — as first-class tracked types out of the box. For property-licensing compliance, SME integrates with Yuno, so licensing intelligence comes via a third party rather than natively; Proplio tracks HMO and selective licence expiry natively as compliance items (though it does not do per-council scheme lookups either — no tool should claim that lightly).
Process depth. SME's own framing is "not just a simple date box" — the module carries process controls to ensure safety checks are instructed and completed and expiry dates are not breached, from adding certificates and arranging checks with contractors through managing renewals and notifying landlords. That is a real end-to-end workflow and we will not diminish it. Proplio's equivalent is deliberately leaner: expiry tracking, a configurable reminder ladder, one-click contractor renewal emails with property details pre-filled, and an audit trail — without the surrounding CRM.
Portfolio-wide dashboard. Proplio's home screen is the entire portfolio in one view, every property colour-coded by RAG status: red (overdue), amber (expiring within 60 days), green (compliant), grey (not applicable). SME Professional offers customisable dashboards across the whole product, and its audit system breaks information down by certificate type. Whether the most-watched screen of your working day is compliance-led or operations-led is the thing to check on the demo — in a full agency CRM, compliance is one view among many by necessity.
Reminder ladder. Proplio's reminder ladder is 90, 60, 30, 14, and 7 days before expiry, configurable per agency in settings. The 90-day lead time is the one that matters — it books the Gas Safe engineer before there is any pressure on the date. SME Professional manages renewals and says expiry dates are "not breached", but the reminder schedule and its configurability are not publicly documented — compare the mechanics on a demo.
Audit-ready PDF report. Proplio generates a single PDF compliance pack per property in one click — every certificate bundled, full audit trail of who did what and when, unique verification ID. That is a defensible artefact you can hand straight to a council enforcement officer or trading standards inspector. SME Professional has an in-depth internal audit system, but a one-click shareable audit pack as a handover artefact is not something it publicly documents. If that artefact matters to your council relationship, ask to see SME's equivalent before assuming it exists.
Landlord-facing visibility. SME Professional wins on richness here: certificates are uploaded to each landlord's individual portal, alongside statements and the rest of the landlord relationship — and the branded owner portal option is a genuinely professional touch. Proplio's version is narrower and faster: a read-only share link per landlord showing their properties' compliance status, no login, no portal rollout, live from the moment you send it.
Contractor management. SME Professional's contractor handling is broader and deeper — arranging checks sits inside the compliance process, and contractor payments run through the same client accounting. A standalone tracker cannot close that instruct-pay-file loop, and we will not pretend otherwise. Proplio's contractor module is narrower: compliance contractors — gas engineers, electricians, EPC assessors — with one-click renewal emails carrying property details pre-filled.

If what your agency needs is client accounting with bank feeds and payment runs, portal feeds to Rightmove and Zoopla, tenancy packs with e-signatures, landlord and tenant portals, SMS and email templates, and lead management in one login, you need an agency CRM — and SME Professional is a well-regarded one, used by more than 1,000 property businesses, with a large integration ecosystem and structured onboarding that includes training and supported data migration (it rates 4.9 on Google by its own site's account, and 5.0 on Kerfuffle from a small number of reviews — eight at the time of writing). There is no honest version of this comparison where Proplio is the answer for running the agency.
This is why "Proplio vs SME Professional" is rarely the right question. The right question is "how much system do I need to adopt to fix my compliance problem, and what does each path cost".
Pricing
Proplio: £29/month flat, unlimited properties, unlimited team, monthly or annual. No per-unit pricing, no feature tiers, no charges for adding users or properties. The price is on the website; you can sign up without speaking to anyone.
SME Professional: quote-only. We could find no pricing page on smeprofessional.co.uk — the site's route in is booking a demo. The public structure is two packages, STANDARD and PLUS, with feature differences between them (the owner portal, for example, comes unbranded or branded depending on package). We are not going to publish numbers we cannot source: at the time of writing we could find no price anywhere on SME's own site, so treat any figure you see elsewhere as unverified and get a quote sized to your agency.
Two honest observations rather than a cost table this time — a table needs numbers, and only one side of this comparison publishes any.
First, a quote is not a verdict. SME's pricing may well be reasonable for what is a much larger product — nothing here implies otherwise — but you cannot know the figure, or how it scales with your portfolio and team, until you ask. The demo-and-quote process is itself part of the price: budget the time for it.
Second, the products are not the same size. SME's quote buys a full agency CRM; Proplio's £29 buys compliance only. The comparison that genuinely matters is evaluation cost: SME is a demo, a quote, onboarding, and training — Kerfuffle notes onboarding training within a week, which is fast for a CRM but is still a project. Proplio is a sign-up and an import. If compliance is the specific fire you need to put out, weigh the cost of adopting a whole system to fix one module.
Switching compliance tracking to Proplio
The flow, once your property data is out of SME Professional:
- 1Get your portfolio into a spreadsheet — address, postcode, landlord and tenant details.
- 2Upload it through Proplio's CSV or Excel property import. Columns are matched automatically, and the full portfolio loads in minutes.
- 3Enter each property's compliance expiry dates. Proplio lists the applicable compliance types against every property out of the box, so this is date entry, not setup — a portfolio's worth of dates is an hour or two of work from SME's certificate screens.
- 4Upload existing certificate PDFs against each compliance item. Optional but worth doing for the audit pack.
- 5Reminders start firing automatically as the dates go in. No manual setup of individual deadlines.
The honest caveat sits at the export end. SME Professional's onboarding includes supported data migration for moving data in, and extensive reporting once you are there — but a CSV or spreadsheet export of the compliance register is not publicly documented. Before planning a move, ask the vendor exactly what export looks like. If a clean export is not available, the expiry dates can be rekeyed by hand — tedious, but a one-off, and the certificates themselves can be re-uploaded as you go.
