Terms of Service

These Terms of Service ("Terms") govern your use of Proplio ("the Service"), operated by Proplio Ltd ("we", "us", "our"). By creating an account or using the Service, you agree to these Terms.
1. About the Service
Proplio is a software-as-a-service (SaaS) platform designed to help UK letting agents and property managers track compliance certificates, manage renewal deadlines, and receive automated reminders. The Service is provided on a subscription basis.
2. Account Registration
To use the Service, you must create an account with accurate and complete information. You are responsible for maintaining the confidentiality of your login credentials and for all activity under your account. You must notify us immediately of any unauthorised use.
3. Free Trial and Subscription
New accounts receive a 14-day free trial with full access to all features. After the trial period, a paid subscription at £19 per month is required to continue using the Service. Subscriptions are billed monthly via Stripe and renew automatically until cancelled.
You may cancel your subscription at any time through the billing page. Cancellation takes effect at the end of the current billing period. No refunds are provided for partial months.
4. Acceptable Use
You agree not to:
- Use the Service for any unlawful purpose or in violation of any applicable laws
- Attempt to gain unauthorised access to the Service or its related systems
- Share your account credentials with third parties outside your organisation
- Upload malicious content, viruses, or harmful code
- Use the Service to store or process personal data beyond what is necessary for property compliance management
- Resell, sublicense, or redistribute the Service without our written consent
5. Your Data
You retain ownership of all data you enter into the Service, including property details, tenant information, and compliance records. We do not claim any intellectual property rights over your data. You may export your data at any time using the built-in export features.
We process your data in accordance with our Privacy Policy and applicable data protection legislation, including the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
6. Service Availability
We aim to maintain high availability of the Service but do not guarantee uninterrupted access. We may perform scheduled maintenance with reasonable notice. We are not liable for any losses arising from temporary unavailability of the Service.
7. Disclaimer
The Service is a compliance tracking and reminder tool. It does not constitute legal advice and does not guarantee regulatory compliance. You remain solely responsible for ensuring your properties meet all applicable legal requirements. We recommend consulting qualified professionals for legal and regulatory guidance.
8. Limitation of Liability
To the maximum extent permitted by law, our total liability for any claims arising from or relating to the Service shall not exceed the total amount you have paid us in the 12 months preceding the claim. We shall not be liable for any indirect, incidental, consequential, or punitive damages.
9. Termination
We may suspend or terminate your account if you breach these Terms or if your subscription payment fails and is not resolved within a reasonable period. Upon termination, your access to the Service will cease, though we will retain your data for 30 days to allow you to request an export.
10. Changes to Terms
We may update these Terms from time to time. We will notify you of material changes via email or through the Service. Continued use of the Service after changes take effect constitutes acceptance of the updated Terms.
11. Governing Law
These Terms are governed by and construed in accordance with the laws of England and Wales. Any disputes arising from these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
