The rules behind the dates

Twelve months, no grace period
A landlord must have every gas appliance and flue they provide checked by a Gas Safe registered engineer within 12 months of installation and at intervals of no more than 12 months thereafter. The deadline is the date, not the month.

The two-month early-renewal rule
A check completed within the two months ending with the deadline date is treated as having been made on the deadline date. Renewing early in that window therefore does not shorten the next twelve months. Checks done earlier than two months out, or after the deadline, start a fresh twelve months from the day of the check.

Copies for tenants
Existing tenants must receive a copy of the record within 28 days of the check. Anyone moving in must be given a copy before they occupy the property.

Keep the record until two further checks
The landlord must keep the record of each check until there have been two further checks of that appliance or flue — or, if the appliance or flue is removed, for two years from the date of the check.

Common questions

How long is a landlord gas safety certificate valid?
Twelve months. A landlord must have every gas appliance and flue they provide checked by a Gas Safe registered engineer at intervals of no more than 12 months, and the deadline is the date of the last check rather than the end of that month. There is no grace period once it passes.
Can I renew a gas safety certificate early without losing the time left on it?
Yes, if the new check falls within the two months ending on the deadline date. Regulation 36A treats a check made in that window as having been made on the deadline itself, so the next twelve months still run from the old deadline and nothing is lost. A check done earlier than two months out, or after the deadline has passed, starts a fresh twelve months from the day of the check.
How long do I have to give the tenant a copy of the gas safety record?

How long must a landlord keep gas safety records?
Until there have been two further checks of that appliance or flue — in practice about two years of records at any one time. If the appliance or flue is removed, the record is kept for two years from the date of the check.
What happens if the gas safety check is late?
The property is uncovered from the deadline date onwards, and the breach is of the Gas Safety (Installation and Use) Regulations 1998 rather than of the tenancy. Getting the check done afterwards restarts the twelve months from the day of that check, but it does not undo the period the property spent without a valid record.
